The Language Expert Privacy Policy
July 2026
This Privacy Policy (“Policy”) explains how The Language Expert (“we”, “us”, “our”) collects, uses, and protects information in connection with your use of thelanguagexpert.com and any related sub-domains, downloadable resources, and client portal (collectively, the “Site”). It applies to anyone who visits the Site, downloads a resource, or registers for the client portal (“User” or “you”).
Introduction
The Language Expert is currently operated as an individual educational resource site rather than a registered company. References in this Policy to “we” or “us” mean the operator of The Language Expert.
By using the Site, you agree to the terms of this Policy. If you do not agree with any part of this Policy, please do not continue to use the Site. We may update this Policy from time to time; material changes will be reflected by updating the “Last Updated” date above, and where appropriate we will provide additional notice.
We aim to handle your information responsibly and in line with the Protection of Personal Information Act 4 of 2013 (“POPI”), and — because some visitors may access the Site from outside South Africa — with relevant principles of the General Data Protection Regulation ((EU) 2016/679) (“GDPR”) where applicable (together, “Applicable Law”).
Personal Information
“Personal Information” means information that can be used to identify you, directly or indirectly — for example, your name, email address, contact details, or information about how you use the Site.
Information We Collect
We collect information in the following ways:
- Directly from you: when you contact us using the form or email address on the Site.
- Automatically, through your use of the Site: such as technical and usage data collected via analytics tools.
- Through cookies and similar technologies: used for site functionality and understanding how the Site is used (see “Cookies” below).
Categories of Information We Process
- Contact details: name, email address, and any other details you provide when filling in the form.
- Usage data: pages visited, resources downloaded, time spent on the Site, browser and device type, and general location (derived from IP address).
- Communications: any messages you send us, and our replies.
- Cookie data: as described below.
We do not currently collect any payment information, as no payments are processed through the Site.
How We Use Your Information
We use the information we collect to:
- respond to enquiries and correspondence;
- maintain, secure, and improve the Site and its content;
- understand how the Site is used, through aggregated and anonymised analytics; and
- comply with any legal obligations that may apply to us.
We do not sell, rent, or trade your Personal Information to third parties.
Information of Minors
Some Users of the Site are likely to be under 18 (for example, Grade 10–12 learners accessing free resources). We do not knowingly collect more information from a minor than is reasonably necessary to provide access to a resource or portal account, and we encourage learners to involve a parent or guardian when registering for the client portal or providing contact details. If we become aware that a minor has provided Personal Information beyond what is necessary without appropriate consent, we will take reasonable steps to delete that information.
We do not use any information collected from minors for targeted advertising.
Disclosure of Information to Third Parties
We only share your information where necessary to operate the Site, or where the law requires it. This may include:
- Hosting and email service providers (currently Hostinger), who store Site content and route Site-related email;
- Analytics providers (currently Google Analytics and Google Search Console), who help us understand Site traffic and performance; and
- legal or regulatory authorities, where required by law.
Any third-party service provider we use is only permitted to process your information for the specific purpose we’ve engaged them for, and is expected to keep it secure.
Third-party analytics and hosting providers may process data on servers located outside South Africa (including in the European Union, United Kingdom, or United States). Where this occurs, we rely on those providers’ own compliance frameworks and security standards.
Cookies and Similar Technologies
The Site uses cookies to support basic functionality and to help us understand how visitors use the Site. These may include:
- Necessary cookies, required for the Site and portal to function correctly;
- Preference cookies, which remember settings such as login state; and
- Analytics cookies (via Google Analytics), which help us understand visitor numbers and behaviour in aggregate.
You can disable cookies through your browser settings, though some parts of the Site (particularly the client portal) may not function correctly without them.
Links to Other Sites
The Site may contain links to other websites or educational resources. We are not responsible for the privacy practices or content of any third-party sites, and we encourage you to review their privacy policies separately.
Data Security
We take reasonable technical and organisational steps to protect your Personal Information against loss, misuse, or unauthorised access, including secure (HTTPS) data transmission. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
Your Rights
Subject to Applicable Law, you have the right to:
- request access to the Personal Information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion of your Personal Information, subject to any legal retention requirements;
- object to, or request that we restrict, our processing of your information;
- withdraw any consent you have previously given; and
- lodge a complaint with the relevant regulatory authority (see below).
To exercise any of these rights, please contact us using the details below.
Retention of Information
We retain Personal Information only for as long as necessary to fulfil the purposes described in this Policy, or as required by law. Portal account information is retained for as long as your account remains active, and free-resource download details are retained only as needed for basic record-keeping and security.
Security Breaches and Complaints
If we become aware of a security incident affecting your Personal Information, we will take reasonable steps to address it and notify affected individuals and the relevant regulator where required by law.
